This policy explains what personal information Pro Media Mogul collects through this website, our forms, our WhatsApp and our advertising, why we collect it, who we share it with, and the rights you have under the Protection of Personal Information Act, 2013 (POPIA). It expands on the privacy sections of our Terms & Conditions and Privacy Notice. Where the two differ, this policy applies to how we handle personal information.
1. Who we are
Pro Media Mogul (registration number 2014/188632/07) (“PMM”, “we”, “us”) builds and hosts websites, customer relationship management (CRM) systems, and email and WhatsApp communication services for South African businesses, schools and associations. We are the responsible party for personal information collected through this website.

2. What we collect
2.1 What you give us
When you fill in one of our forms (for example “Call me” or “Get started”), buy a product, or contact us, we collect what you enter, typically:
- your name, and your company, school or organisation;
- your cell or telephone number and your email address;
- the date and time you would like us to call you, and anything you write in your message;
- billing details when you buy a product or subscription from us;
- the messages you send us on WhatsApp, by email, by phone or through the chat on our website.
2.2 What is collected automatically
When you visit our website or submit a form, we and our analytics and advertising partners automatically record technical information: the date and time, your IP address, your browser and device type, the pages you visit, the page you came from, the buttons you tap, and identifiers placed by cookies or advertising links (such as a TikTok click identifier). Section 5 explains this in detail.
2.3 Card payments
Card payments are processed by our payment provider, Paystack, on its own secure payment page. We never see or store your full card number or security code.
2.4 Children
Our services are for businesses, schools and organisations, and we do not knowingly collect information from children. Where a form concerns a child, for example a school registration enquiry, it must be completed by the child’s parent or legal guardian.
3. Why we use it
- To contact you when you ask us to. If you request a call-back, or tick “Yes, I’m interested. Please contact me.”, we will contact you by phone, WhatsApp or email about your enquiry.
- To confirm your request on WhatsApp. When you give us your cell number on one of our forms, we send you a WhatsApp message confirming we received your request, and a reminder before a call you have booked.
- To provide the services you buy, and to invoice and collect payment for them.
- To tell you about our services. We send occasional email or WhatsApp messages about our services, offers and news where you have agreed to receive them, or where you are an existing customer and the message concerns similar services. You can stop these at any time (see section 9).
- To measure and improve our advertising, so we know which adverts bring enquiries and can show them to people more likely to be interested (see section 5).
- To meet our legal obligations, including keeping records of the permission you gave us.
4. Who we share it with
- Our clients. If you completed a form on a website we run for one of our clients, your enquiry goes to that client so they can answer you.
- Our service providers, who work on our instructions only: our hosting providers in South Africa, our CRM, our email delivery platform, Meta’s WhatsApp Business Platform (to send and receive WhatsApp messages), and Paystack (payments).
- Advertising and analytics partners: TikTok and Google, as explained in section 5.
- Authorities and advisers, where the law requires it, or where we need to establish, exercise or defend a legal claim.
We do not sell your personal information, and we do not rent or trade mailing lists.
5. Cookies, analytics and advertising
Our website uses cookies and similar technology from the following partners:
- Google (Google tag / Google Analytics) counts visits and shows us how our pages are used, so we can improve them.
- TikTok (the TikTok Pixel and TikTok Events API) lets TikTok tell us when someone who saw one of our TikTok adverts visits our website, taps a button to contact us, or submits one of our forms. This lets us measure our adverts and show them to more of the right people. It shares the page visited, the action taken, your IP address and browser details, and TikTok’s own cookie and click identifiers. When you submit a form, our server also reports the submission to TikTok with the same kind of technical information, so it is counted once even if your browser blocks the pixel.
- TikTok Advanced Matching. If you type your email address, phone number, name or address into a form on our website, the TikTok Pixel converts them into an irreversible scrambled code (a “hash”) in your browser before anything is sent. TikTok uses that code only to match the visit to a TikTok account. TikTok does not receive the readable details from us.
How TikTok and Google use this information is set out in the TikTok Privacy Policy and the Google Privacy Policy.
Your choices: you can block or delete cookies in your browser settings; you can switch off personalised adverts in your TikTok and Google account settings; or you can ask us to stop (see section 11). Blocking cookies will not stop you using our website or forms.
6. Information that leaves South Africa
Our websites, CRM and email systems are hosted in South Africa. Some of our providers, including TikTok, Google, Meta (WhatsApp) and Paystack, may process information outside South Africa. Where that happens, we rely on providers bound by data protection terms that give protection comparable to POPIA, as section 72 of POPIA requires.
7. How long we keep it
- Enquiries and call-back requests: for as long as needed to deal with your enquiry, and normally up to three years afterwards.
- Customer, invoice and payment records: for as long as the law requires us to keep them, normally five years.
- Marketing lists: until you opt out, or until you have not engaged with our messages for a sustained period.
- Consent and opt-out records: for as long as we hold your information, and opt-out records indefinitely, so that we never message you again by mistake.
- Advertising and analytics data is kept by TikTok and Google under their own policies. Our own record of what we reported to TikTok is kept for up to twelve months.
8. How we protect it
We take reasonable technical and organisational steps to protect your information against loss, unauthorised access and misuse, including encrypted connections, access control and regular backups. No system is completely secure. If a breach is likely to affect you, we will notify you and the Information Regulator as the law requires.
9. Your rights
Under POPIA you may:
- ask what personal information we hold about you, and ask for a copy;
- ask us to correct or delete information that is inaccurate, out of date, excessive or unlawfully obtained;
- object to us processing your information, including for advertising;
- stop marketing messages at any time, at no cost: reply STOP or tap “Stop promotions” on WhatsApp, use the unsubscribe link at the foot of any email, or tell us directly. We will still deal with any enquiry you have made;
- complain to us, and to the Information Regulator.
10. The Information Regulator
If you are not satisfied with how we handled your information, you may complain to the Information Regulator of South Africa: inforegulator.org.za, email POPIAComplaints@inforegulator.org.za.
